EDS Submission Instructions

I. What is EDS

The EDS is a set of displays spread across campus that allow for university affiliated units (academic departments; administrative and auxiliary units) and student organizations registered by the Student Activities office (hereafter, “registered student organizations,” or, “RSOs”) to display information pertaining to their activities. This includes concerts, lectures, athletic contests, cultural events, and special group meetings.


II.How to Submit Content

To submit content for display on EDS, send an e-mail to eds@mtu.edu with the following information (all information noted below is required):

  • Start date and end date to display content (the requested start date must be no earlier than three business days from submission date)
  • Student Organization or University Department Affiliation
  • Name of requestor
  • File to be displayed (.JPEG image file or PowerPoint file).
  • The requirements for the submitted file are:
    • The file must be formatted in the 16:9 aspect ratio and landscape orientation.
    • If submitting a JPEG image, content must have a resolution of at least 1280x720.
    • If submitting a PowerPoint file, the slides must be created using the 16:9 Widescreen slide size
    • If the file is generated using Adobe Photoshop, Adobe Illustrator, or similar advanced image editing software, the file must be saved as a JPEG image in the sRGB color space; content saved in the CMYK color space cannot be posted.
  • By submitting content, you acknowledge that your image meets the requirements for universal design.

It is the responsibility of the university department or RSO submitting the content to ensure the accuracy of their content prior to submitting it (IT does not check submitted slides for accuracy). Submissions to correct errors may be made to eds@mtu.edu, however such submissions will be subject to a three day turn-around time to allow for processing.


III. Additional Information

The following controls are in place to ensure fair access to the system and to ensure that requests can be posted in a timely fashion:

A minimum notice of three business days is required to allow for processing of requests. The three-day processing time begins once a valid submission is received. Requests that specify a starting date in conflict with the processing time requirements noted above or specify a non-specific start date, such as, “now,” or, “ASAP,” may not be honored as requested.

To ensure postings by interested RSO’s or university affiliated units receive adequate exposure, a group will be allowed to have a maximum of five (5) slides running concurrently in the display rotation.  Submissions beyond the five-image limit will not be processed for display.

Content submitted for display by law enforcement officials or agencies relating to campus safety will be processed for display prior to all requests for general campus announcements and may delay posting of general campus announcements beyond the standard three-day lead time.


IV. Submission and Display of Content During Peak Periods

As a result of customer feedback regarding the desired frequency at which content is displayed, IT will impose restrictions on submissions during periods in which more than 45 slides are in the display rotation. During such periods, new submissions will be limited to a maximum posting duration of 14 days. In an effort to provide events occurring during these peak times adequate exposure, content already being displayed that has a posting duration in excess of two weeks will be subject to temporary removal without notice until such a time that less than 45 slides are in rotation or two weeks remain until the content’s scheduled end date, whichever occurs first.

For content that is scheduled to start being shown during a peak period that has a requested display duration in excess of two weeks, its start date may be delayed, without notice, until such a time that less than 45 slides are in the rotation. Content subject to this delay will be scheduled for display regardless of the number of slides in the rotation no later than two weeks prior to its requested end date.

For content has been temporarily removed or delayed due to an excess of slides in the display loop, additional requests to post such content, even if the revised requests meet the two week limit, will not be honored.
