EDS Submission Instructions

University departments, groups, and student organizations registered by the Student Activities office may request the use of EDS for the display of information pertaining to their campus activities. This includes concerts, lectures, athletic contests, cultural events, and special group meetings. Submissions from external organizations and businesses will be rejected.

A minimum notice of three business days is required for processing requests. The three-day processing time begins once a valid submission is received. Requests that do not allow for adequate processing time, specify a starting date in conflict with the processing time requirements noted above, or specify a non-specific start date, such as, “now,” or, “ASAP,” may not be honored as requested.

Content will be displayed for a maximum of two weeks unless prior approval is obtained. An organization, group, or department may have a maximum of five (5) slides running on EDS at any one time; additional submissions beyond the five image limit will not be processed for display. IT will review requests to display content to ensure that they are consistent with the purposes for which EDS is made available and reserves the right to reject those submissions which are not.

Content submitted for display by law enforcement officials or agencies relating to campus safety will be processed for display prior to all requests for general campus announcements.

To request content be displayed on EDS please send an e-mail with the following information:

  • Start date and end date to display content (the requested start date must be no earlier than three business days after submission date)
  • Sponsor/Organization
  • Name of requestor
  • Phone/e-mail
  • File to be displayed (.JPEG image file or PowerPoint file).
  • The requirements for the submitted file are:
    • The file must be formatted in the 16:9 aspect ratio and landscape orientation.
    • If submitting a JPEG image, content must have a resolution of at least 1280x720.
    • If submitting a PowerPoint file, the slides must be created using the 16:9 Widescreen slide size
    • If the file is generated using Adobe Photoshop, Adobe Illustrator, or similar advanced image editing software, the file must be saved as a JPEG image in the sRGB colorspace; content saved in the CMYK color space cannot be posted.
  • By submitting content, you acknowledge that your image meets the requirements for universal design.

Submissions that are difficult to read or do not conform to the requirements listed above will be returned with any issues preventing processing, such as invalid image dimensions or incorrect file types, noted. Processing of content for display will not proceed until a valid file is submitted. Please note that in instances where content is returned for corrections, the start date of the posting may be delayed beyond the originally requested date.

IT will not perform any checks for the accuracy of information contained in submissions; individuals submitting content for posting are responsible to check the accuracy of the content of their slides or images. If errors are found, a revised slide may be submitted and it will be subject to the three business day processing time noted above.
